Summary:

Each user record contains the general sign-up information collected during registration and displays the user’s current permissions. All this information can be edited. There are also features present that include ‘Active/Inactive’ user designation, ‘Send New Password’ feature, and ‘Turn On MFA’ feature.

Usage:

To edit a user record the ‘Edit’ button on the record must be clicked. A modal will display which contains information that is organized into sections.

The ‘General Profile’ section contains the listed information that is required for account registration which includes:

The ‘Username’ field will automatically assign the user’s email address (not including the domain) as their username. The username will be used as the first part of a user’s messaging email address for the application’s internal messaging feature. This section also includes their the ‘HubSpot Contact ID,’ and ‘Stripe Customer ID.’ The HubSpot Contact ID is what connects the user’s account information to its respective contact in HubSpot, which allows any change made to the user information modal to be changed automatically on their HubSpot contact. The ‘Stripe Customer ID’ is what links the user’s account to their customer record on Stripe.

The last two parts of this section contain the ‘Stripe Credit Balance’ field and an ‘Active’ designation checkbox. The ‘Stripe Credit Balance’ field can be used to grant credits to a user’s account that will be spent on any purchases made on the account. One credit is equal to one dollar.

The ‘Active’ designation will automatically be checked off anytime a user is created. By unchecking this checkbox, the user will be considered ‘Inactive.’ An ‘Inactive’ user will have either their client account or partner account (if the user is the primary account owner) removed from either ‘Client Accounts’ or ‘Partner Accounts’ section and not be included in the metrics on the ‘Overview’ page of Customer Support. An ‘Inactive’ user will also not be charged on Stripe for any monthly charges and will pause their subscription on any plan the user is on. If a user tries to log into their account that has been designated as ‘Inactive’ their account page will display a message stating that the account has been deactivated and that they should contact Hope Trust.

At the bottom of the ‘General Profile’ section the two features ‘Send New Password’ and ‘Turn On MFA’ are displayed as buttons. The ‘Send New Password’ button will send an email with a temporary password to the user’s email which will allow them to complete the process of creating a new password. The ‘Turn on MFA’ will automatically activate a user account’s MFA feature. The user would need to have a verified phone number already listed on their account. Please see the 'Multifactor Authentication' section of the Hope Trust Application ReadMe document (https://docs.hopecareplan.com/).
